Q: Is it possible to have both the soft flame and jet flame on at the same time

Yes. They are two separate systems except for the butane tank.

Q: Is there a special process for refilling the lighter?

What I find works best, is to Purge the lighter (can use a small screw driver, but a purge tool works best and will ensure no damage to the fill nozzle) then fill using high quality butane (I have found xikar to perform far better in lighters than any other, including Vector)

Q: What type of replacement Flints do you need ?

Even though they are saying Zippo flints work....they most definitely do not fit. Tried everything. The flint it comes with are max 2.00mm probably less, and are impossible to find

Q: Soft flame doesn't work

The adjustment screw is on the bottom, possibly need to bleed the chamber to clear any air bubbles. Mine has worked perfectly since I opened it!
